Information we collect
The information we collect depends upon your relationship with JSAT.
Grant applicants and recipients
When you apply for or receive financial support from JSAT, we may collect information including:
your name, contact details and date of birth;
information about your school, university, course or other studies;
information necessary to establish your eligibility for support from JSAT;
information about your financial circumstances and, where relevant, those of your household;
details of student finance, scholarships, grants and other sources of financial support;
supporting documents provided as part of your application;
bank details required to make grant payments;
correspondence with us;
information relating to decisions made about your application; and
progress reports and other information provided after an award has been made.
Some information required to administer our grants may be particularly sensitive. This can include information relating to religious belief and, where relevant, health, disability or special educational needs.
We aim only to request information that is reasonably necessary to establish eligibility, assess financial circumstances and administer our charitable support.
Former recipients
JSAT has supported students over many decades and maintains appropriate records relating to previous recipients.
These may include records of grants, historic loans and repayments, correspondence, previous applications and involvement with the Trust.
Former recipients may subsequently remain involved with JSAT as repeat applicants, donors or supporters. Where this happens, we may maintain an ongoing record of that relationship.
Progress reports and testimonials
Recipients may be asked to provide progress reports so that we can understand how they are progressing and assess the impact of our support.
Progress reports are currently submitted using an online form provided by Jotform.
Where a recipient provides a testimonial, we will respect the publication preference they select. We will not publish an identifiable testimonial or photograph without appropriate permission.
Where permission is given only for anonymous publication, we will take reasonable steps to remove identifying information before publication.
Donors and supporters
If you donate to or otherwise support JSAT, we may collect information including your:
name and contact details;
donation history;
information required to administer Gift Aid where applicable;
correspondence with us;
communication preferences; and
information required for financial, accounting and regulatory purposes.
We do not normally retain complete payment-card information.
Historic loan repayments
Although JSAT now principally supports students through grants, some former recipients continue to make repayments in relation to historic loans.
We may retain information necessary to identify and administer these repayments and maintain appropriate financial records.
Historic loan repayments are treated separately from charitable donations.
Website visitors and enquiries
Our website is currently provided using Google Sites.
If you contact us through the website, by email or through one of our online forms, we may collect your name, contact details, the information contained in your enquiry and subsequent correspondence.
Our website and services embedded within it may also use cookies and similar technologies.
How we use personal information
We may use personal information to:
determine eligibility for JSAT support;
assess grant applications and financial circumstances;
communicate with applicants and recipients;
make and administer grant payments;
monitor grants and recipients' progress;
consider repeat applications;
administer historic loans and repayments;
maintain appropriate records of former recipients;
process donations and Gift Aid;
communicate with donors and supporters;
understand and demonstrate the impact of JSAT's work;
administer and develop the charity;
maintain appropriate financial, governance and regulatory records;
protect the Trust and its charitable funds; and
comply with our legal and regulatory responsibilities.
Our legal basis for using personal information
JSAT processes personal information only where there is a lawful basis for doing so.
Depending upon the circumstances, this may include processing necessary for the legitimate interests of JSAT in administering and developing the charity, compliance with legal obligations, and consent where consent is appropriate.
Where we process special-category personal information, including information concerning religious belief, health or disability, we apply the additional protections required by data protection legislation and process such information only where an appropriate legal condition applies.
We take particular care with sensitive information and aim to limit its collection and use to what is reasonably necessary for JSAT's charitable activities.
Who has access to your information?
Information provided in connection with a grant application is treated confidentially.
Access is restricted to Trustees and other people involved in administering or assessing applications where they need the information for that purpose.
We also use service providers to help us operate the charity. These currently include Google services for our website, email, document storage and administration, and Jotform for online forms.
We may also share information with professional advisers, financial institutions, regulators or public authorities where this is necessary or required by law.
JSAT does not sell personal information.
International processing
Some of the technology providers we use may process personal information outside the United Kingdom.
Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate safeguards are in place in accordance with applicable data protection law.
How long we keep information
The length of time we retain personal information varies according to the nature of the information and our relationship with the individual.
JSAT often has an ongoing relationship with grant recipients. Some students make more than one application during their studies, and former recipients may subsequently remain involved with the Trust as supporters or donors. We therefore consider retention in the context of an individual's continuing relationship with JSAT rather than applying a single retention period to every record.
As a general principle, records relating to a grant recipient may be retained for up to 10 years following their most recent grant, after which the recipient's record will normally be reviewed.
Where a former recipient continues to have an active relationship with JSAT — for example as a donor, supporter, repeat applicant or through another ongoing connection with the Trust — we may retain the information necessary to manage that relationship for longer.
We do not necessarily retain all of the information originally supplied with an application for the same length of time. Sensitive supporting documents and detailed financial information may be deleted when they are no longer required, while a more limited record of the grant and the recipient's relationship with JSAT may be retained.
Donation, Gift Aid, financial and accounting records may be retained for the periods necessary to meet legal, tax, audit and regulatory requirements.
Some information may also be retained as part of JSAT's historical archive where there is an appropriate reason to preserve a record of the Trust's history and charitable activities.
We periodically review the information we hold and will delete, anonymise or reduce the information retained where there is no longer a reasonable need to keep it.
Keeping information secure
We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access or disclosure.
Access to sensitive applicant and beneficiary information is restricted to people who need it for the administration and governance of the Trust.
Your rights
Under data protection law, you may have rights in relation to the personal information we hold about you. Depending upon the circumstances, these may include the right to:
ask what personal information we hold about you;
receive a copy of your personal information;
ask us to correct inaccurate or incomplete information;
ask us to delete information in certain circumstances;
ask us to restrict how information is used;
object to certain uses of your information; and
withdraw consent where we rely upon consent.

JSAT understands that applying for financial assistance can involve sharing personal and sometimes sensitive information.
Confidentiality
Information provided as part of an application is treated confidentially and used to assess eligibility, financial circumstances and the appropriate level of support that JSAT may be able to provide.
Application information is not made public.
Access is restricted to Trustees and others who need the information for the administration and assessment of applications.
How applications are considered
Applications are considered in accordance with JSAT's charitable purposes, eligibility requirements and the funds available to the Trust.
We may contact an applicant to request additional information or supporting documentation where this is reasonably necessary to assess an application.
Every application is considered on its individual circumstances.
Meeting JSAT's eligibility criteria does not guarantee that a grant will be awarded.
The number and value of grants we can make depends upon the needs of applicants and the resources available to the Trust.
Grant decisions
The Trustees are responsible for ensuring that JSAT's charitable funds are used appropriately.
When considering applications, relevant factors may include financial circumstances, the cost of study, other available sources of financial support and any other circumstances relevant to the application.
The Trustees may decide to award the amount requested, a different amount, or not to make an award.
Conflicts of interest
Trustees are expected to identify and declare relevant conflicts of interest.
Where a Trustee has a conflict relating to an application, appropriate steps will be taken to manage that conflict and ensure that decisions are made in the interests of the charity.
JSAT aims to treat applicants, recipients, former recipients, donors, supporters and others who interact with the Trust fairly, respectfully and courteously.
We recognise that there may occasionally be circumstances in which someone is unhappy with their experience of JSAT.

Please provide enough information for us to understand your concern and, where relevant, details of any previous correspondence.
What happens next?
We will aim to acknowledge and consider complaints promptly and fairly.
Where appropriate, a complaint will be considered by a Trustee who was not directly involved in the matter concerned.
We may contact you for further information before reaching a conclusion.
We will then explain the outcome and any action that JSAT considers appropriate.
Complaints about grant decisions
JSAT's resources are limited and decisions about the distribution of charitable funds require the Trustees to exercise discretion.
You may raise a complaint about how your application has been handled, including concerns that our procedures have not been followed or that you have not been treated fairly.
However, disagreement with the amount of an award or a decision not to make an award does not, by itself, constitute grounds for a complaint.
Where significant new information becomes available, the Trustees may choose to reconsider an application, but there is no automatic right of appeal against a discretionary grant decision.
Raising serious concerns
Nothing in this policy prevents an individual from contacting the Charity Commission, Information Commissioner's Office or another appropriate authority where they are entitled to do so.
JSAT is committed to safeguarding and promoting the welfare of children, young people and adults who may be at risk.
Much of our current work involves providing financial assistance to students rather than directly delivering educational or care services. Nevertheless, we recognise safeguarding as an important responsibility.
JSAT aims to ensure that safeguarding concerns brought to our attention are taken seriously, that information is handled sensitively and confidentially, and that concerns are referred to appropriate agencies where necessary.
Where JSAT provides funding to an organisation for activities involving children, young people or adults at risk, we may expect that organisation to have appropriate safeguarding arrangements in place.
As JSAT considers how its work might develop in the future, including possible support for special educational needs provision within Jewish educational settings, safeguarding will form part of the development and assessment of any such programme.
